1. Lead data
Information collected from enquiry, qualification and booking forms where the lead does not become a client is retained for up to 24 months from the last point of contact, then securely deleted.
2. Client data
Client account, contact and operational data is retained for the duration of the engagement and for 6 years after termination to meet UK accounting, tax and contractual obligations.
3. Booking records
Discovery Call and meeting booking records are retained for 24 months, after which they are deleted or anonymised.
4. CRM records
Notes, communications and pipeline data within our CRM are retained for the duration of the client relationship plus 6 years.
5. Compliance documentation
Operator licence copies, insurance certificates, MOT and driver documentation are retained for 6 years from the end of the engagement, in line with UK transport and tax recordkeeping requirements.
6. Deletion procedures
- Records past their retention period are deleted on a scheduled quarterly basis.
- Backups are rotated and overwritten according to our hosting provider's standard cycle.
- Hard-copy documents (where they exist) are securely shredded.
- Users may request earlier deletion under UK GDPR by emailing hello@cabodispatch.com.
