CABO Dispatch is a trading name of Cabo Logistics Ltd, a company registered in England and Wales under company number 14101067. We act as the data controller for personal data collected through our website www.cabodispatch.com and our services.

2. What personal information we collect

We collect personal data that you provide to us, including:

  • Contact forms — name, email, phone, company and message.
  • Qualification forms — vehicle type, fleet size, lanes operated, business challenges and similar operating information.
  • Booking forms — name, email, phone, preferred call time and any notes you provide.
  • Client portal — login credentials, account details, uploaded documents and service records.
  • CRM records — communication history, notes, tasks and pipeline data linked to your account.

3. Google Calendar & Google Meet integration

When you book a Discovery Call, we use Google Calendar to create the meeting and Google Meet to host the video call. Limited data (your name, email and the event details) is shared with Google for the purpose of scheduling and delivering the call. Google's use of your data is governed by its own privacy policy.

4. Email communications

We use Gmail (Google Workspace) to send transactional emails such as booking confirmations, reminders and replies to your enquiries. These emails are sent from hello@cabodispatch.com.

5. Marketing communications

Where you have opted in, we may send you marketing emails about dispatch tips, compliance updates and new services. You can unsubscribe at any time via the link in any marketing email or by emailing us.

7. Legal basis for processing

  • Contract — to deliver dispatch and compliance services you have requested.
  • Legitimate interests — to operate our business, respond to enquiries and improve our services.

  • Legal obligation — to comply with UK tax, accounting and transport regulations.

8. Data retention

  • Lead and enquiry data — up to 24 months after last contact.
  • Client account and CRM records — duration of the contract plus 6 years.
  • Booking records — 24 months.
  • Financial and compliance records — 6 years, as required by UK law.

9. Data sharing

We share personal data only with trusted processors who help us deliver our services, including:

  • Google (Workspace, Calendar, Meet, Gmail)
  • Our hosting and database providers
  • Email and analytics providers
  • Professional advisors and regulators where legally required

We never sell your personal data.
